March 10 Old Farm Park Meeting Minutes

Posted on: 2010-04-11

Old Farm Park meeting minutes
3-10-10

Please go to this website www.trailsandopenspaces.org and fill out the survey regarding your thoughts on a regional park system.

Old Farm Park was formally adopted by its residents

*Over 40 attendees unanimously agreed to adopt the park

*The application was completed 3-10-10

*Trash cans have already been returned. Volunteers will be responsible for emptying the cans and providing new liners.

*A plaque stating, “This park has been adopted by the residents of Old Farm” will be provided

*The commitment for adopting the park is one year, however, due to economic conditions, this will probably be a long term commitment, requiring renewal for a few years

Calendar

*The sign up calendar for weekly clean-up and maintenance is full through the end of October.

*An email will be sent in October asking for volunteers to sign up in Nov., Dec., Jan., Feb. & March.

*For now, volunteers will be sent a reminder via email. A list of duties will be sent with the reminder. The list of duties will also be posted at www.oldfarmnews.com. Volunteers need to choose just one day during their designated week to come to the park and complete the small list of duties.

*The online calendar will posted at www.oldfarmparkteam.groupsite.com, along with other ongoing developments. This is a new private forum that will allow the team to communicate more efficiently and effectively. If you have previously signed up to help, you should be receiving an invitation to join via email, but you can always request membership to this site as well by completing the appropriate form.

Monetary donations

*Most attendees were in favor of making and collecting monetary donations to assist with upkeep of the park

*Priorities for donations were discussed; most wanted to contribute to the shortfall in watering and fertilizer along with the maintenance of playground equipment. Priorities will need to be finalized at another meeting in April.

*Kurt Schroeder, Manager of Parks, Trails, and Open Spaces, said Utilities may approve a pilot program that would allow for a little more water at certain neighborhood parks. If approved, he pledged that Old Farm would be one of the parks in the pilot program. This would allow him to give Old Farm Park four additional inches of water this season. Therefore, the shortfall would be 9 inches, requiring $2,841.30 to fund the shortfall. If Utilities does not approve the program, the shortfall will be 13 inches, requiring $4,104.10 to fund the shortfall.

*Fertilizing Old Farm Park will cost roughly $700.00
*Kurt stated that donations designated for Old Farm can be made directly to the City of Colorado Springs. He guaranteed those funds will be held in trust for Old Farm Park and will not be spent anywhere else. He will let us know if the donations are tax exempt.

*Stacy Wilson volunteered to collect and track donations. If enough money cannot be raised to make up the shortfall in watering, donations will be returned to the donor.

*Donations can be in the form of check or cash. Checks should be made out to the City of Colorado Springs, memo Old Farm Park. Cash should be contained in an envelope with the donor’s name and phone number on it.

*The deadline and method for getting the funds to Stacy has not been finalized.
(I would propose that volunteers bring their donations to the meeting in April; if they cannot attend, they can deliver it to Stacy’s home)

*Attendees asked that a flyer about the park effort be created to share with neighbors. It was suggested that this flyer be posted on the Old Farm website so residents can access it and print it out at their leisure. Some attendees offered to go door to door to “get the word out.”

*Allison Foster agreed to create this flyer (I will need some time to get to this. I’m open to suggestions regarding information you think is pertinent for the flyer)

*Rick Van Wieren offered to assist with printing

*Those who want to canvas the neighborhood will need to organize this effort.

Additional items

*Kurt Schroeder will find out if the enclosed slide can be replaced with an open slide (to reduce the ability to hide in it, burn it, and vandalize it). However, due to liability issues, it may not be interchangeable with a different type of slide. The City will probably be able to replace the section that is currently burned, however, if the vandalism continues and the funds run out, we will have to fund replacements ourselves or have the equipment removed.
